Privacy Policy
Last updated: September 2026
1. Overview
Applica ("we," "us," "our") operates an applicant workspace that helps students discover, track, and organize applications to scholarships, internships, fellowships, and similar opportunities. This policy explains what information we collect, why we collect it, and how it's protected.
Applica is currently in beta.
This is a general privacy policy template, not a substitute for legal advice. It has not yet been reviewed by a lawyer. Before a real public launch — especially given that Applica may be used by students under 18 in multiple countries — have this reviewed by a lawyer familiar with data protection law in the countries you operate in (e.g. GDPR in the EU/UK, similar laws elsewhere).
2. Information we collect
Account information: name, email address, date of birth, country, education level, and career goal, provided when you register (directly or via Google Sign-In). If you're under 18, we also collect a parent or guardian's name and email.
Profile information: skills, languages, interests, achievements, preferred countries and fields, and dream universities — all optional, provided by you to personalize your experience.
Document checklist: the names and categories of documents you're tracking (e.g. "My CV," category: CV), whether you've marked each one ready, and any optional notes you add. We do not store the actual files — see Section 5 of the Terms of Service.
Application data: which opportunities you save or apply to, checklist progress, status, notes, and interview dates you enter.
Technical information: login timestamps and basic request metadata needed to keep your account secure (e.g. detecting suspicious login activity). We do not use tracking pixels or third-party advertising trackers.
3. How we use your information
To operate your account and the application-tracking features you use directly — there is no separate "analytics" use of your personal data beyond what's needed to run the product (e.g. aggregate, de-identified counts shown to platform administrators, such as "how many applications were submitted this month").
To send you deadline reminders and application status updates, if enabled.
To notify you about newly approved opportunities that match preferences you've explicitly set in your profile.
To review and approve opportunity listings submitted to the platform.
4. Third-party services we use
We rely on the following providers to operate Applica. Each has its own privacy practices, which we encourage you to review:
Google Sign-In (if you choose to use it) — Google verifies your identity and shares your name and email with us; we don't receive your Google password.
Cloud hosting and database providers — used to run the application and store your account, profile, and checklist data securely, on infrastructure operated by our hosting and database providers rather than our own physical servers.
Email delivery provider — used to send password reset links and (if enabled) deadline reminder emails.
5. How long we keep your information
We retain your account and checklist data for as long as your account is active. If you delete your account, we aim to delete your personal data within a reasonable period, except where we're required to retain limited records for legal or security purposes.
6. Your rights
You can review and update most of your account and profile information directly from your Profile page. You can remove individual entries from your Document Checklist at any time. To request a full export or deletion of your account and data, contact us using the details below.
7. Security
Passwords are never stored in plain text. Access to your data requires authentication. No system is perfectly secure, and we can't guarantee absolute security, but we take reasonable, industry-standard measures to protect your information.
8. Children's privacy
Applica may be used by students under 18. For users under 18, we collect a parent or guardian's name and email at signup so a guardian is aware of the account. If you are a parent or guardian and believe your child has provided us with personal information beyond what's described here, please contact us so we can address it.
9. Changes to this policy
We may update this policy as Applica evolves, especially during the beta period. Material changes will be reflected by updating the "Last updated" date above.
10. Contact
Questions about this policy, or requests to review, export, or delete your data, can be sent via our contact page.
